About this policy

This policy explains how Webzstore uses information from enquiries, clients, payments and website activity. For privacy requests, email privacy@webzstore.com. Provider and correspondence details appear in Business details and contact.

Enquiries and client communication

We use information you supply to respond to enquiries, discuss services, communicate about projects and administer payments and accounts. Forms may ask for your name, business, contact details, website, service interests and message; fields vary by form.

Enquiries are saved in our CRM and email through the CRM’s automatic process. We use Google Workspace for email, and our CRM data is hosted in the United States. As projects continue, we communicate with clients by email, telephone or WhatsApp.

Payments

We accept bank transfers and use PayPal and Stripe for payment processing. Some clients authorise us to process card payments, and some services use recurring subscriptions.

Clients sometimes provide card details by telephone or email for authorised payments. We delete the card details supplied to us after processing the charge. This does not mean payment providers delete their own payment-method or transaction records.

Service concerns and payment disputes

We use relevant service, payment and communication records to investigate complaints, review refund requests and respond to payment disputes. Where needed for a dispute response, we may share relevant invoices, payment-authorisation records, agreed service details, delivery records and correspondence with the payment provider, bank or card issuer involved. We limit the information shared to what is relevant to the issue.

Payment-authorisation recordings

With your permission, we record only your payment authorisation, not your card details. These recordings are automatically deleted within 30 days.

Website services and measurement

This website does not currently use analytics, advertising or live chat tools. If we add any, they will start switched off, we will ask for your permission first and we will update this policy. Hosting and infrastructure services used by the business include Cloudflare, Linode and Vercel. The website's fonts are served from our own website, so loading them does not send your IP address to a font provider.

Some pages can show content from other services: a video from Vimeo on the homepage, a Google map on the Contact page and one YouTube video (in privacy-enhanced mode) in a blog article. The homepage video's preview image is stored on our own website. These services load only after you allow embedded videos and maps in Cookie settings and, for the homepage video, press Play. When one loads, it connects your browser to that service, which may receive information such as your IP address and device details. We load the Vimeo player in a mode that asks Vimeo not to track viewing sessions or set cookies, but essential security cookies and IP or device information may still be processed. Each service's own privacy policy applies: Vimeo and Google, which also covers YouTube.

Cookies and privacy choices

When you first visit, we ask whether to allow optional embedded videos and maps. They stay off until you choose. You can accept them, reject them or choose what to allow, and you can change your choice at any time with Cookie settings at the bottom of every page. Closing the panel does not give permission.

We save your choice on your device, in your browser's local storage under the name webzstore-consent. It records which choices you made, when you made them and when they expire. It does not contain your name, your IP address or any identifier, and it is not sent to us. Your choice lasts up to 180 days, after which we ask again, and we also ask again if the services we use change. If your browser blocks storage, your choice applies to that visit only.

Necessary storage is always on. It remembers your choices and helps keep the website secure, and it is not used for marketing or tracking.

The choices are Embedded videos and maps (off until you allow it), Analytics and Advertising. This website does not currently use analytics or advertising tools, so those two cannot be switched on.

If your browser sends a Global Privacy Control signal, we treat it as an opt-out of advertising and of selling or sharing information for advertising, and it applies even if you accept optional choices.

Turning a choice off stops further use of that service on this website. It does not take back information already sent, and we cannot delete cookies that other services have set in your browser; you can delete those in your browser settings.

Service messages and marketing

We communicate with clients about their enquiries and services through the contact details they provide. We do not currently send marketing email campaigns or SMS messages as part of our own communications. Sending an enquiry or choosing cookie settings does not sign you up for marketing. If we ever send promotional email, SMS or WhatsApp messages, we will ask for your separate permission first.

We do not sell or rent your personal information, and we do not share it with third parties for their marketing purposes. We share it only with the providers and organisations described in this policy, where needed to provide our services, take payments and respond to disputes.

Information processed for clients

Some services involve operating websites, CRM or other tools for clients. The data involved depends on what is enabled for that client.

Providers and international processing

We use email, communication, payment, hosting, mapping, video and CRM providers for the activities described above. Mapping and video providers are used only after your permission. Our CRM data is stored in the United States.

Retention

Payment-authorisation recordings are automatically deleted within 30 days. We retain enquiry and client records in our CRM and email, including correspondence in Google Workspace, to preserve service history and respond when a client returns with questions, including a year or more later. We also retain invoice correspondence. We currently have no fixed deletion schedule for those records.

Your privacy rights

Depending on the law that applies and the reason we hold your information, you may ask to access or correct it, request deletion or restriction, or receive a portable copy. Some requests are subject to legal conditions, and we may need to retain information to meet legal obligations.

You may have the right to object to certain uses of your information, including direct marketing. Where we rely on your consent, you may withdraw it without affecting processing that took place before withdrawal.

Where the law provides a right to nominate someone to exercise your data-protection rights, you can contact privacy@webzstore.com to ask how to make that request.

If you are not satisfied with how we handle your information, you may complain to the data protection authority: in the UK, the Information Commissioner's Office; in Ireland, the Data Protection Commission.

Privacy requests and policy updates

Send requests concerning your personal information, including a request to delete it, to privacy@webzstore.com. We will respond within 4 to 5 working days. Where we are required or entitled to keep some information, such as invoices, we will explain what we keep and why. You can send concerns or complaints about how we handle your information to the same address.

Please describe the information or issue your request concerns and, where possible, contact us using the email address associated with your enquiry or project. We may ask for a small amount of information to verify your request and protect your records. Please do not send passwords, payment-card details or identity documents in your initial message. Some requests may require further investigation; we will explain any information we must retain and the applicable next steps.
