Marketing Automation

Give customer follow-up a clear sequence. We build marketing automation around the event that starts a journey, the messages or tasks that follow, and the point where a person should take over.

01Journey

Start with one customer journey

A new enquiry, a booking request and an existing customer's follow-up need different information and timing. We map the selected journey before connecting messages and tools.

That makes the workflow understandable to the team using it. Each action should have a purpose, and each message should be appropriate to the person's stage and permissions.

02Triggers

Define triggers, conditions and stops

The trigger starts the workflow. Conditions decide whether a particular step is appropriate. Stop rules prevent the sequence continuing after a response, withdrawal or other relevant change.

Those details are as important as the messages themselves. An automation that keeps sending after a person has replied can make the customer experience worse rather than easier.

03Testing

Test the complete sequence

Does only the intended event start it?

Condition

What to define

What must be true before the action

Test question

Is the step skipped when unsuitable?

Action

What to define

The message, task or update

Test question

Does the intended result happen?

Stop event

What to define

The change that ends or pauses it

Test question

Does a reply or relevant status stop the sequence?

Fallback

What to define

Who handles an exception

Test question

Is the unresolved task visible to a person?

04Channels

Connect email, SMS and bookings carefully

We can plan the appropriate follow-up channels and booking events within the workflow. The actual setup depends on the systems, permissions and information available.

A channel being technically available does not establish permission to contact everyone in a database. We treat audience source and messaging permissions as setup inputs.

05People

Keep a person in the journey

A workflow can assign a task or request a review when the next step requires judgement. Your team needs to know where those handoffs appear and who is responsible.

We also define how the workflow is changed or stopped. A business process will evolve, and the automation should remain understandable when the person managing it needs to make an adjustment.

06Reminders

Keep useful reminders in the workflow

An appointment reminder needs the right booking status, contact permission and cancellation rule.

  • A review request needs a completed eligible interaction and a neutral invitation.
  • We define those conditions with you so the workflow does not keep sending after the situation has changed.

07Follow-up

Plan survey and referral follow-up

A survey invitation can follow an eligible interaction, using the audience permissions and timing you agree. A reply or opt-out should stop the relevant sequence, and a concern needing a decision should reach a person.

A referral workflow can help an existing customer share a link or ask for an introduction. It should not automatically add another person's details to a marketing list. We define the invitation, permission checks and human follow-up before activation.

Questions about marketing automation

What can start a workflow?

The relevant events available in your setup, such as an enquiry or booking change, can be assessed. We confirm the actual connection before promising a trigger.

Can a team member take over?

Yes. Human handoff and stopping conditions form part of the design and test plan.

How do you prevent repeated messages?

We define entry conditions, stop events and the handling of repeated triggers, then test those cases before activation.
